POLICY REGARDING TELEPHONE AND MOBILE PHONE

1.1 In order to strengthen communication infrastructure amongst the employees of SJVN and facilitate speedy communication and connectivity amongst the employees, an agreement has been signed with BSNL for providing IT services on discounted rates and it was also felt to revise the existing Scheme Regarding Mobile phone and Telephone at Residence. The revised Scheme is detailed below.

1.2 The ceiling for reimbursement of the cost of Mobile phone and monthly call charges for residence shall be as under:

1.3 The above monthly ceiling against rentals and call charges shall accumulate to determine the annual ceiling till the end of the financial year. Accordingly, Overflow in a particular month(s) can be adjusted within annual ceiling so arrived at till the end of the financial year. Unused/Balance at the end of the financial year will lapse automatically.

1.4 Company will provide one Mobile set up to the cost as indicated above to CMD/Functional Directors. All other entitled executives will be required to claim reimbursement. Reimbursement will be limited to the amount indicated above. Executives who have already been provided mobile set of higher amount, than above entitlements, by company will not be eligible for Mobile set under this scheme till the expiry of 4 years from the date of purchase of mobile set. However, in case the cost of Mobile set provided by the Company is less than the above entitlement, in such cases executive can buy back the Mobile set by paying following amount and claim the reimbursement for new Mobile set as per his entitlement under this Scheme:

2.0 In addition to the monetary ceiling, the sales/service tax on admissible amount shall also be reimbursed by the company.

3.0 The entitled employees may avail HP Govt.(CUG) Plan of BSNL or any other beneficial Scheme taken up by SJVNL.

4.0. The Mobile set will have a life span of 4 years. The executives may replace the Mobile set after expiry of 4 years from the date of purchase by retaining old instrument without any recovery. On separation from service, including on superannuation and completion of tenure of Board level appointees, if employee retains mobile set, he shall be required to pay the following amount:-

4.1 Any expenditure towards maintenance or replacement of mobile phone/battery during the life of Mobile phone will not be reimbursed.

5.0. The bill upto the above ceiling may be verified by the concerned executives and sent to Finance Deptt. for payment through the concerned section of P&A. Amount beyond the entitled ceiling will be recovered from Salary.

5.1 The bills of CMD and Functional Directors will be verified by ES/PS and sent to the Finance Deptt. directly for payment.

6.0 Reimbursement toward the expenditure on telephone at residence shall be restricted to residence at place of posting or residence at daily commutable distance from the place of posting and where an executive is actually residing. However, one of the ES/PS attached to CMD/functional director/ED will be allowed telephone at residence/mobile at Delhi or Shimla.

7.0. In case an executive is on leave for more than 30 days or more, no expenditure will be reimbursed on account of Mobile phone for the period of leave.

8.0. This Scheme will supersede all Circulars related to entitlement of mobile phones and telephones at residence and the Scheme shall come into force w.e.f. 01.10.2006. Employees who have been allowed reimbursement shall inform their mobile phone numbers to all concerned and ensure their availability during emergency.

9.0 In case of any doubt/interpretation/minor relaxation the decision of D(P)/CMD shall be final.

TEMPORARY ENTITLEMENTS AGAINST OFFICE TELEPHONE AT PROJECT LOCATIONS OF UTTRAKHAND

a) As a temporary measure till the installation of telephones in project sites/offices of Uttranchal Projects, reimbursement against mobile phone with the following monthly ceiling is allowed:

This will be over and above the ceiling provided in the extant policy for reimbursement of telephone/mobile charges at residence. However executive can claim reimbursement against single mobile set/number within the ceiling so arrived at by clubbing monetary ceiling under this scheme together will residential telephone/mobile.

b) The other terms and conditions shall be the same as applicable for reimbursement of cost of mobile against residential telephone.

c) The above facility shall be allowed only to those employees who are otherwise eligible for installation of STD telephone at project offices/sites.

d) It will be the responsibility of concerned P&A Department to ensure early installation of telephone in the office of entitled employees and the month report will be sent to Corporate Policy Division for review.

e) This facility is not applicable to offices located in Dehradun.

f) The effective date of this circular will be from the BSNL billing cycle of April, 2006.
